How to automatically close return requests

Configure Swap to automatically close inactive return requests after a set number of days in a specified shipping status, with no refund or Shopify action triggered.

Return requests (RMAs) that remain inactive in a specified shipping status can be closed automatically after a set number of days. Closing an RMA this way does not trigger a refund, and no processing or restocking action is sent to Shopify.

Automatically closed RMAs are marked as such in the RMA table.


Setting up automatic closure

  1. Go to Settings > Returns.

  2. Locate the Automatically close the RMA section.

  3. Configure your closure condition by choosing:

    • Shipping status — the status the RMA must be in to qualify for closure

    • Number of days — how long the RMA must remain in that status before it is closed

The day count starts from the moment the shipping status changes to the status you selected. Once that period has elapsed, the RMA is closed automatically.


Statuses excluded from automatic closure

The following RMA statuses are not eligible for automatic closure:

  • On-hold

  • Needs review

  • Pending

Instant Exchange RMAs are also excluded and are managed through a separate setting.
