Getting started with Tax Hub

This article explains how Tax Hub works and walks you through setting it up so Swap can track your US tax obligations and manage registrations on your behalf.

What is Tax Hub?

Tax Hub is a dedicated dashboard within Swap Global that brings your US tax compliance tools together in one place. From Tax Hub you can:

  • see where you are close to, or have already reached, state tax thresholds

  • choose whether Swap manages tax compliance on your behalf

  • track the progress of registrations and filings, and review your tax setup at any time


Tax compliance setup

When you open Tax Hub for the first time, you're asked: Would you like Swap to handle your taxes?

If you select Yes, you'll complete a guided setup covering:

  • your company information

  • the locations where you sell

  • a short Physical Nexus Questionnaire about warehouses, staff, contractors, and stored inventory

Swap's operations team will then manage tax registrations on your behalf and keep the dashboard updated.

If you select No, you'll still see economic nexus tracking in the dashboard, but physical nexus details and direct registration through Tax Hub won't be available unless you opt in later.


Economic Nexus vs Physical Nexus

Tax Hub tracks two types of tax exposure:

  • Economic nexus — triggered by sales value or transaction count in a state.

  • Physical nexus — triggered by a tangible presence in a state: a warehouse, employees, contractors, or stored inventory.

If either threshold is crossed in a state, registration there is required.


Historical data and sales channels

Tax Hub automatically imports your Shopify sales history from January 2024 onwards to calculate nexus. At launch, only Shopify sales are included. Future updates will add support for other sales channels such as Amazon and Etsy.


U.S. Sales Nexus Dashboard

After setup, a colour-coded map shows your nexus status across all states:

  • Below threshold — no action required.

  • Approaching — you've reached 75% of the threshold; start preparing to register.

  • Action required — you've passed the threshold and must register.

Alerts

You'll receive email alerts when

  • You are approaching a threshold.

  • You have crossed a threshold (registration is required).

  • You haven’t taken action for three weeks after hitting the threshold.


Registering for Tax

  1. Swap's operations team begins the registration process.

  2. A registration card appears on your dashboard showing the current status (e.g. Preparing Application, Submitted, Approved), key dates and deadlines, and the tax rate and filing history for that state.

Once registration is in progress, that state moves out of Action required into a tracked status.


Tax Jurisdictions

The Tax Jurisdictions page shows all ongoing registrations in one place. Each state has its own card showing status updates, key identifiers (registration ID and effective dates), a timeline of events, and a table of tax filings with download options.


Tax Configuration

The Tax configuration page gives you a full summary of your tax setup and lets you make changes at any time. From here you can enable tax collection for states where nexus has been reached, review your company details and sales channels, and update your Physical Nexus Questionnaire responses if your circumstances change.
