Mintsoft Integration (Returns V2)

The Mintsoft integration syncs quality control conditions from Mintsoft into Swap, and sends return tracking numbers back to Mintsoft. This article covers the requirements, how to connect, and what the integration does.

This article explains how to connect Mintsoft to Swap, and what the integration does once it's live.

With Mintsoft connected, your warehouse's inspection results flow into Swap automatically, and return tracking numbers flow back out to Mintsoft.

Requirements

Before connecting:

  • All products in Shopify must have a SKU defined.

  • Mintsoft returns are only retrieved using the Mintsoft order number.

  • You must provide a permanent API key. Keys linked to a username and password are not supported.

  • Return reasons, SKUs and order IDs must match exactly between Mintsoft and Swap — including capitalisation, prefixes, spaces and dashes. A single character's difference stops the record matching.

Timing

QC results are pulled on a one-day delay: a return received in Mintsoft on 27 May reaches Swap on 28 May.

If you process a return manually before that nightly update, Swap skips it in the automated workflow.


How to connect Mintsoft

You'll need a permanent Mintsoft API key and your Client ID. Mintsoft's own documentation covers how to request a static API key.

The steps below use Returns → Integrations. You can also connect from the Quality control page: under Quality control providers, open the WMS Provider tab, choose Mintsoft from Choose the WMS to integrate with, and click Integrate. Either route sets up the same connection.

  1. Open Returns in the Swap dashboard

  2. Go to Integrations

  3. Find Mintsoft and click Connect

  4. Enter your Mintsoft API key and Client ID

  5. Click Connect

  6. Map your Mintsoft return reasons onto Swap conditions — see Condition mapping

  7. Choose manual or automatic processing


Use return reasons, not stock conditions

Swap reads Mintsoft's Return Reason field as the item's condition. Set the condition there.

The Stock Condition field does not sync with Swap. Anything recorded there is ignored.


What the integration does

Quality control results into Swap

Once connected, Mintsoft's conditions are pulled into Swap automatically and listed under Provider condition in the Condition mapping table. You then set the Store condition and Quality approved values for each one.

Condition names have to stay unchanged in Swap to remain in sync with Mintsoft. Renaming one breaks the match.

If conditions aren't appearing, check the API key and the return reason setup in Mintsoft.

Return tracking numbers into Mintsoft

When a return label is generated and the shipment gets its tracking number, Swap sends that tracking number to Mintsoft shortly afterwards, writing it to the order's ExternalOrderReference field. Your warehouse staff can then identify an inbound return by its tracking number in Mintsoft before it's opened.

Swap finds the matching order in Mintsoft by order number and checks the SKUs before updating it.

Each attempt is recorded as a note on the return in Swap, whether it succeeded or failed, so you can see when a tracking number didn't reach Mintsoft.

This runs only when quality control is enabled, Mintsoft is set as your QC provider, and tracking number sync is turned on for your store.
