Quality Control by CSV

Our platform allows you to manually upload and update your Quality Control status via a CSV file, making it easy to efficiently handle large volumes of data. This is particularly beneficial for stores working with 3PL services without API support.


Key Features

  1. CSV Upload to Quality Control Tab

    You can upload a CSV via "Drag and Drop" or file selection.

    The CSV should contain the following fields:

    • Order number

    • Product SKU

    • Condition

    • Returned quantity

  2. Field Mapping

    Match each Swap-required field (e.g., QC Condition, SKU) to the corresponding column in your file using the dropdown menus. Irrelevant columns can be set to Ignore this column. All required fields must be matched before the import can proceed. Once done, click Import to process the file.

  3. Conditions Handling

    This table represents the decision on conditions for each quality assessment. For each provider state, you can choose one of the following conditions:

    • Missing

    • Damaged

    • Wrong item

    • Sellable

    In the ‘Quality Approved' column, you can choose whether the quality assessment is approved; this will determine the RMA QA status.

    Unique values from the CSV are added to the "Condition" field. Manual input is required for "Store condition name" and "quality approved.”

  4. CSV Processing

    The CSV can be processed once data is mapped and conditions are completed. Click on “Start Processing” to start. Errors for missing information are flagged, and successful processing updates the RMA page.

    • Successful imports will display all relevant data, including new conditions.

    • If there were errors during processing, the system highlights problematic rows, allowing you to correct and reprocess them as needed.

  5. CSV Results

    Once you upload and process your CSV file for quality control, you can view the results directly on the platform. The system displays the original WMS (Warehouse Management System) and CSV data, allowing you to switch between them. Each order's conditions and details are shown in an easy-to-read table format.

  6. Manual and Automatic Processing

    With our quality control feature, you have the flexibility to process returns manually or automatically.

    • Manual Processing: When using manual processing, the WMS recommendations are displayed on the RMA screen. This allows you to review each return, inspect conditions, and decide how to handle it based on your preferences.

    • Automatic Processing: You can also set up automatic processing to streamline return handling, letting the system process returns according to predefined “Quality Approved” conditions in the conditions table.
